The short version
We never sell personal information. When AI Concierge answers residents for a property manager, we handle those messages only to provide the service to that property manager, under their instructions.
Who we are
("Followfy", "we", "us") makes AI Concierge, an AI assistant that answers residents and tenants by text and chat and supports property management teams. This policy explains how we handle personal information when you:
- visit our websites, including aiconcierge.followfy.co;
- use the AI Concierge live demo;
- receive our emails or text messages;
- are a customer, or work for a customer, of AI Concierge; or
- are a resident or tenant who messages a property that uses AI Concierge.
What we collect
From website visitors, prospects and customers
- Contact details you give us: name, work email, company, role, and phone number if you choose to share it.
- Account and billing details for customers. Payments are handled by our payment processor; we do not store full card numbers.
- Building information customers provide to set up the service, such as buildings, units, policies, amenities and answers to common questions.
- Website data such as pages visited, device and browser type, approximate location from your IP address, and cookies or similar technologies (see Cookies below).
- Communications with us by email, phone, chat or text.
From residents and tenants (on behalf of our customers)
- Your phone number or messaging handle, and your name and unit if the property manager provides them or you share them.
- The content of your messages and any photos you send, such as maintenance requests, questions, reservations or payment questions.
- Information the property manager shares with AI Concierge to answer you, such as work order status, amenity bookings or whether rent is current.
Live demo data
- Your file stays on your device. A rent roll or unit list you upload to the demo is read inside your browser and is not uploaded to our servers.
- Only three things are kept: the building, the unit number, and whether rent is current or late (with days late when available).
- Everything else is discarded, including resident names, phone numbers, emails and amounts. Each unit is shown with a fictional name generated by the demo.
- No messages to your residents. The demo never contacts your real residents. Please don't type real resident personal information into the demo.
Residents and tenants
When a property manager uses AI Concierge, the property manager decides how resident information is used. We act as their service provider. That means:
- We use resident information only to provide AI Concierge to that property manager: answering your messages, creating and updating work orders, booking amenities, sending reminders and notifying the property team.
- We do not sell resident information or use it to advertise to you.
- We keep it as long as the property manager's agreement with us requires, then delete it.
- For questions or requests about your information, contact your property manager. We will help them respond.
AI Concierge is not an emergency service. If anyone is in danger, call 911.
How we use information
- To provide, operate and support AI Concierge and the live demo.
- To send demo links, reminders, recaps and service messages.
- To communicate with prospects and customers about AI Concierge, including sales and marketing emails you can opt out of.
- To keep the service secure, prevent abuse and fix problems.
- To understand usage and improve our products, using aggregated or de-identified information where possible.
- To comply with the law.
Artificial intelligence
AI Concierge uses artificial intelligence, including third-party AI models, to understand messages and draft replies. Messages are processed by those providers only to generate responses for the service. We do not use customer or resident information to train AI models for other customers, and we choose AI providers whose terms do not allow them to use this information to train their own models. AI replies can contain mistakes; property teams can review conversations, and urgent issues are routed to people.
Text messages (SMS)
Demo and marketing texts. If you give us your mobile number and check a consent box, we may text you about your demo and, if you agreed, about AI Concierge offers. Message frequency varies. Message and data rates may apply. Reply STOP to stop and HELP for help. Consent is not a condition of purchase.
Resident texts. When you text a property that uses AI Concierge, replies come from AI Concierge on behalf of that property. Reply STOP at any time to stop receiving texts from that number, and HELP for help.
We do not sell or share mobile numbers or SMS consent with third parties for their marketing purposes. Full SMS terms are in our Terms of Service.
Cookies
Our website and demo use cookies and similar technologies to keep pages working, remember your progress in the demo on your device, and understand how visitors use the site. You can block or delete cookies in your browser settings; some features may not work without them.
Who we share information with
- Service providers that help us run AI Concierge, such as hosting, our CRM and website platform, data storage, AI model providers, SMS and email providers, and payment processing. They may use the information only to provide services to us.
- Property managers. Resident messages and requests are shared with the property manager the resident is messaging and the staff they authorize.
- People you invite to a demo can see that demo's company name, buildings, units, rent status and messages.
- Legal reasons, when required by law or to protect rights, property and safety.
- Business changes, such as a merger, financing or sale, subject to this policy.
Where information is processed
We and our service providers may process information in the United States, Mexico and other countries where they operate. We take steps so that your information stays protected as described in this policy wherever it is processed.
How long we keep information
- Demo data: deleted within days after the demo ends, unless you become a customer and ask us to use it for setup.
- Prospect and customer contact information: kept while we have a business relationship, or until you ask us to delete it.
- Resident information: kept as long as the property manager's agreement requires, then deleted.
Security
We use reasonable technical and organizational measures to protect information, including encrypted connections and access controls. No system is perfectly secure, so we also limit what we collect.
Your choices and rights
- Ask us to access, correct or delete your personal information.
- Opt out of marketing emails using the link in any email, and out of texts by replying STOP.
- Residents can also make requests through their property manager.
Depending on where you live, including California and other U.S. states, you may have additional rights, such as knowing what we collect and limiting certain uses. We do not sell or share personal information for cross-context behavioral advertising, and we will not discriminate against you for using your rights.
Children
Our services are not directed to children under 13, and our website and demo are for adults. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy. We will change the effective date above, and for material changes we will give notice by email, in the service, or on this page.
